Why these numbers
The free student limit (25) is designed for small programs — a tutoring center with a few classes, or a corporate training cohort in its early phase.
The free teacher limit (15) aligns with the free employee cap. Teachers in Optserv's system are staff-level users, and the free tier is designed for teams of up to 15.
What counts as "active"
- Active student — a student profile that has not been archived
- Active teacher — a teacher profile that has not been archived
Archived students and teachers do not count against the limit. Archiving is reversible — you can unarchive if needed.
Hitting the limit
When you reach your student or teacher limit:
- Existing students/teachers remain unaffected
- New student or teacher profiles cannot be created until you archive existing ones or upgrade
- Staff receive a notification when attempting to exceed the limit
Upgrading
Business with Access removes both limits. If your school-management program is growing, upgrading unlocks:
- Unlimited students
- Unlimited teachers
- All other Business-tier features (Account Sharing, higher storage, unlimited job postings)
