Storage & Limits
Document storage limits by plan — 2 GB on Community, 200 GB on Business with Access — and how storage is counted.

Storage is shared across the entire company — it's not per-user. One large file upload by one employee counts against the same pool as everyone else's uploads.
What counts against storage
All uploaded files count toward the company's storage quota:
- PDFs, Word documents, spreadsheets
- Images and scanned documents
- Any other uploaded file type
File metadata (names, descriptions, visibility settings) does not count toward storage.
What happens when you hit the limit
When your company reaches its storage limit:
- Existing files remain accessible and downloadable
- New file uploads are blocked until storage is freed or the plan is upgraded
- Admins and HR receive a warning before the limit is reached (when approaching 80% usage)
Managing storage
To free up storage:
- Delete files that are no longer needed (only Admins and HR can permanently delete)
- Archive old documents outside Optserv and remove the copies from the system
- Upgrade to Business with Access for 200 GB
Deleted files are removed from the storage count immediately. There is no trash/recycle period that holds them against the quota.
Upgrading
If you're approaching your 2 GB limit on the Community plan, upgrade to Business with Access for the 200 GB limit. The upgrade also unlocks Account Sharing and removes other plan caps.
