Storage & Limits

Storage limits by plan: 100 MB on Community, unlimited on paid plans, plus file size limits, allowed file types, and how storage is counted.

Storage is shared across the entire company. It is not per user. One large upload by one employee counts against the same pool as everyone else's uploads.

Unlimited storage on a paid plan means we do not meter it for normal business use of the HR product. It is still subject to the acceptable use terms in our Terms of Service.

File size and file types

These limits apply on every plan, including paid plans with unlimited storage.

  • Maximum file size: 10 MB per file
  • Allowed file types: PDF, JPEG, PNG, WebP, GIF, plain text, Markdown, Word, Excel, PowerPoint, and OpenDocument (ODF) files

Video and audio files cannot be uploaded.

What counts against your storage

Only files a person deliberately uploads count toward the company total:

  • Company Drive files
  • Employee documents
  • Attachments submitted with job applications

What does not count

These are stored outside your quota, so ordinary day to day use will not consume it:

  • Attendance photos
  • Profile avatars
  • Leave attachments
  • Payslips

Attendance photos are retained for about 90 days and then deleted.

File metadata such as names, descriptions and visibility settings does not count toward storage either.

What happens when you hit the limit

When your company reaches its storage limit:

  • Existing files remain accessible and downloadable
  • New uploads are blocked until storage is freed or you switch on a paid plan
  • Admins and HR receive a warning as you approach the limit

Managing storage

To free up storage:

  1. Delete files that are no longer needed. Only Admins and HR can permanently delete.
  2. Keep long term archives outside Optserv and remove the copies from the system. Optserv is an HR platform, not a backup or archival service.
  3. Move to a paid plan for unlimited storage.

Deleted files leave the storage count immediately. There is no trash period that holds them against your quota.
