Recruitment Access

Why recruitment in Optserv is restricted to Admin and HR — applicant data privacy, evaluation integrity, and operational guidance.

Recruitment is restricted to Admin and HR roles. Managers and Employees cannot access job postings, applications, or applicant data.

Why recruitment is Admin/HR only

Applicant data is sensitive. Applications include personal contact information, CVs, evaluation notes, and offer-related details. Broad access creates compliance risk and reduces hiring process integrity.

Evaluation notes need a controlled audience. When interviewers leave notes on candidates, those notes should be visible only to the people responsible for making the hiring decision — not the entire company.

Competitive sensitivity. Active job postings and applicant pipeline details (volume, stage distribution, target roles) can expose strategic plans to people who don't need that information.

If you need more than 3 concurrent job postings or expect more than 25 applicants per role, upgrade to the Business plan.

Public career page

Job postings you mark as published appear on your public career page. The career page is part of the HRMS product. The URL is tied to your company profile.

Applicants who apply through the career page are automatically captured in the recruitment pipeline — no manual entry required.

Operational guidance

  • Limit HR role assignment to people who genuinely run people operations. Giving someone "HR" just to let them post jobs creates unnecessary exposure.
  • If you need a hiring manager to review candidates, the Admin or HR user can share evaluation notes externally (outside Optserv) rather than granting system access.
  • Archive job postings when closed — do not leave stale open postings accumulating applicants.
