How seats work

A seat is one team member: anyone who logs in to manage or operate Optserv. Students and external applicants never count.

What counts as a seat

  • Every employee added to your company account (Admin, HR, Manager, or Employee role)
  • Inactive or suspended staff still occupy a seat. The seat is freed when the person is fully removed
  • Teachers in OptClass count toward your employee seat pool
  • Students in OptClass do not count. They are unlimited on Business

What does not count

  • OptClass students (unlimited on Business, capped at 25 on Community)
  • Job applicants or candidates in your hiring pipeline
  • People who have been fully deleted from your account

Active vs. total headcount

Billing counts all non-deleted users, not just the active ones. If you have 10 people and 5 are suspended, you are billed for 10 seats. To reduce your billed seat count, remove people from the account entirely.

Reducing seats mid-commitment

If you lower your seat count during an active subscription, a prorated credit is applied to your next billing cycle. You are not charged for the reduced seats going forward. The minimum you can set is the number of people currently in your account.

Community plan: free, up to 15 employees. Business plan: seats scale with your subscription, starting from your current headcount.
