Quick Start

Get from zero to a running Optserv setup in five steps: create your company, invite your team, assign roles, and activate the workspaces you need.

This guide gets you from a fresh signup to a working setup. The whole process takes under 15 minutes.

Step 1: Create your company

After signing up at app.optserv.ai/signup, you'll be prompted to create a company. This is the container for all your people, settings, and workflows.

  • Give it your actual company name, it appears on job postings and internal pages.
  • One person creates the company and becomes the first Admin.

Step 2: Set up departments

Before inviting people, set up at least your core departments (Engineering, Operations, Sales, etc.). Departments drive:

  • Manager approval routing for leave, overtime, and attendance corrections
  • Reporting visibility (managers see their department, not the whole company)
  • Org chart structure

You can always add more later, but having them ready before invites makes onboarding cleaner.

Step 3: Invite your team

Go to People and invite teammates by email. When you invite someone, you assign their role immediately.

Tip: Keep Admin and HR roles tight. Most people should be Employee or Manager.

Step 4: Enable optional workspaces

By default, only the HR workspace is active. Enable additional workspaces based on your needs:

Account Sharing: if your team shares social media accounts, vendor logins, or other credentials. Enables /accounts.

School workspace: if your company runs tutoring, training programs, or kiosk-style education. Staff use /school in the web app; mobile apps are OptClass. Requires the school_accessible metadata claim; contact support to activate.

Step 5: Run your first HR workflows

With your team in place, start the workflows you need:

  • Attendance, employees clock in/out; managers and HR see their teams
  • Leave, employees submit requests; managers and HR approve
  • Overtime, same approval flow as leave
  • Recruitment, create job postings (Admin/HR only); applicants flow in
