Session balance tracking and attendance boards in Optserv OptClass.

OptClass tracks two related things: how many sessions a student has remaining (session balance) and whether they showed up to each session (attendance).

Session balances

A session balance is the number of sessions a student has purchased or been allocated. Each completed (attended) session reduces the balance by one.

Example: A student purchased a 10-session package. They've attended 4 sessions. Their balance is 6.

Setting the initial balance

When enrolling a student in a schedule, staff set the initial session balance. This represents the purchased or allocated sessions.

Balances can be topped up (adding sessions) or adjusted (correcting errors) by staff at any time.

Low balance notifications

(On the product roadmap — see Notifications) When a student's balance is low, Optserv will notify the staff member responsible for their enrollment so they can prompt a renewal.

Attendance boards

The attendance board is a session-by-session view of attendance for a group or individual student. It shows:

  • Date and time of each session
  • Session type (group or 1:1)
  • Teacher
  • Attendance status (attended, cancelled, no-show)

Recording attendance

Staff record attendance session by session. Options:

  • Attended — the session happened and the student was present; balance decremented
  • Cancelled — session was cancelled (balance optionally credited back, depending on policy)
  • No-show — session happened but student didn't attend (balance decremented or held, depending on policy)

Cancellation and no-show balance policies depend on your company's rules — Optserv lets you configure this per schedule.

Student view of sessions

Students see their balance and attendance history through the student portal. They see:

  • Remaining sessions
  • Past session history (date, status)
  • Upcoming scheduled sessions

Students cannot modify their balance or attendance records — only staff can do that.

Reporting

Staff can view session and attendance summaries by student, teacher, or group. This helps track:

  • Students with declining attendance (at-risk)
  • Teachers with high cancellation rates
  • Overall session utilization across the program
